Giving Scientific Meeting Content a Longer Shelf-Life

Scientific meetings provide an opportunity for the exchange of ideas and debate. It isn't surprising that these meetings are of great educational value to attendees. Given the unique kinds of social and information-sharing exchanges that take place at scientific meetings, conferences represent a unique body of knowledge that should be systematically archived, indexed, and disseminated to the scientific community. And this opens up access to cutting-edge research and educational resources.

Archiving oral presentations from conferences is growing in popularity among associations. It offers the opportunity to increase the return on investment from their meetings, deliver innovative educational programs to members and maximize the exposure and impact of their event-based science. The intent of this quarter's issue of The Advisor is to show you can get far more mileage out of your conference programming, by allowing your content to be captured, archived, and then searched beyond the physical confines of a given meeting ... and long after it has ended.

The Changing World - and the Changing World of Content…

I was recently reminded how much technology (and its limitations) influences the format and distribution of content. A colleague sent me a parody about some monks in the year 1440 who traveled to Strasbourg to see the new Gutenberg Press. The monks were underwhelmed and certain that no users would move away from the current practices for imparting knowledge (illustrated manuscripts) - a practice in which the monks had commercial interest. This in turn reminded me of a spirited discussion in a plenary session I attended at the Society of Scholarly Publishing's 2002 meeting, where an executive of Elsevier debated with a professor from University of Montreal about whether or not the emerging commercial Internet would really change the role of STM journals. Journals, Professor Guedon pointed out, initially came about as a convenient distribution mechanism for the content contained in letters from scientists such as Newton and the Internet could now do quite well without the third-party publishers. Mr. Bolman, whose company has a strong commercial interest in maintaining a lock on their distribution monopoly, naturally argued that the journals' role as referees were critical to the science...

Oh! The Places Your Content Will Go!

There are ample reasons for ensuring that your content is poised and ready to exist and be widely distributed long after your meeting.

 

It is true that meetings, and attending them in person, are here to stay. Corbin Ball may have said it best with the simple reference to beer. You simply can't share a beer on the web, no matter how real it might look on the screen or on the latest iPhone app.

Nonetheless, there are ample reasons for ensuring that your content is poised and ready to exist and be widely distributed long after your meeting. Or perhaps even during your meeting.

Captured content has merits for all attendees, not just the ones who couldn't afford to or make time for travel. It is physically impossible to attend all sessions at a meeting with concurrent sessions, thus attendees aren't exposed to all the content of a meeting regardless of whether they are there in person or not. A recent medical meeting which was held over the course of four days had a total duration, for the oral presentations presented at the meeting, of over 816 hours, or 34 days, worth of content...

Preserving meeitng content has never been more important than now.

Preserving meeting content has never been more important than now. Medical research is dying a quick death post-meeting when it could assist with ground-breaking research and ongoing education long after the meeting. Previously, there has been no unified database or resource available to access legacy event knowledge, making presentations, papers and abstracts difficult and time-consuming to locate for association members and impossible for end-users. The only way an end-user could find archived material would be either through their membership with an association that digitally captures and archives its personal meeting presentations or by stumbling upon it. Considering that the average four day conference contains nearly ten times that time-frame's presentation material, a serious amount of education risks being lost. This poses a serious distribution and discoverability problem for associations looking to expand the exposure of their science...
